What We Do
Connector setup, done properly
For most stores, an established connector app is the right tool. We help you choose one, then configure it the way your accountant needs: income accounts by product type, separate tax liability accounts, fees to an expense account, and payment methods mapped to clearing accounts. Then we test it against a real payout before anyone relies on it.
Cleanup of a sync that went wrong
If a sync has been running with bad settings, the books carry the damage: duplicates, unmatched deposits, taxes in the wrong place. We fix the configuration first so the problem stops growing, then work with your bookkeeper on how far back to correct.
Payout reconciliation
A Shopify payout is sales, minus fees, minus refunds, plus adjustments, spread over several days of orders. We structure the posting so each bank deposit matches one entry that breaks down into those parts. Bank reconciliation goes from an afternoon to a few minutes.
Wholesale invoicing
If you sell to retailers or cafés on payment terms, those orders need real invoices with due dates, not retail sales receipts. We sync B2B orders as invoices against the right customer, which pairs with our Shopify B2B and wholesale setup.
Custom sync
When you run multiple stores or entities, need rules an app can’t express, or move more volume than an app handles, we build the integration ourselves against the QuickBooks Online API, with the same retries, idempotent writes, and monitoring as our other integration work.

FAQs
Do we need a custom integration, or will an app do?
For most stores an app is the right answer, and we will say so. The established QuickBooks connectors handle standard retail well once they are configured properly. The problem is that the default configuration is rarely right: wrong income accounts, taxes lumped together, fees ignored. Custom work earns its cost when you have wholesale invoicing with payment terms, multiple stores or entities, unusual tax situations, or volume that an app cannot keep up with.
Should every order sync, or a daily summary?
It depends on volume and what your accountant needs. Per-order posting gives detail but can flood QuickBooks with thousands of transactions a month. Summary posting by payout keeps the books clean and makes bank reconciliation simple, since each deposit matches one entry. We usually recommend payout-level summaries for retail and per-order invoices for wholesale, and we confirm the choice with your accountant before building.
Why don't our Shopify payouts match QuickBooks?
Usually because a payout is not the same as sales. It is sales minus processing fees, minus refunds, plus or minus adjustments and chargebacks, often across several days of orders. If the sync posts gross sales without fees, or ignores refunds issued in a later period, the deposit will never match. Fixing the mapping so each payout breaks down into its parts is most of the job.
Can you handle Canadian sales tax properly?
Yes. GST, HST, and provincial sales taxes need to land in separate liability accounts with the right tax codes, or your filing becomes guesswork. We map Shopify's tax lines to QuickBooks tax codes by province, and handle US sales tax the same way for stores that sell across the border. We configure what your accountant specifies. We do not give tax advice.
Do you work with QuickBooks Desktop?
Our work is focused on QuickBooks Online, which has a modern API. If you are on Desktop, we will look at your setup and tell you honestly what is possible. In many cases the better move is planning the migration to QuickBooks Online first.
